    Job Description
    Reports To: Association Executive (AE)             Status: Full Time Hourly
    Compensation: $17-$20/hour (Commensurate with Experience)
    Position Summary: This position is vital to the operations of the association. The MSC/AA is responsible for assuring superior customer services to all association members and successful operations of the front office. This position performs a wide variety of administrative support functions with minimum guidance, frequently in a confidential fashion. Successful candidates will act as a central point of contact for all association members therefore will play a primary role in promoting professional image and valued reputation.
    • Greets walk-in customers, identifies need, and if applicable, directs to appropriate personnel
    • Answers phone, assists members with questions, aids in problem solving, and addresses concerns promptly and effectively
    • Participates in all staff meetings and development opportunities
    • Assists with other duties as assigned by the AE
    • Processes new member applications and coordinates attendance of new member orientation and ensures proper dissemination of materials
    • Assists in maintaining an accurate member data base and promptly records all additions, changes, and deletions
    • Inputs all new members into the database system(s) and develop monthly reports of new, and terminated members for AE review
    • Keeps members’ information current in membership database (RAMCO) and M1 systems
    • Assists with general membership functions
    • Develops and improves affiliate packages to promote and maintain membership
    • Maintains and serves as the main point of entry for membership database
    • Ensures the AE is informed of any problem with the system or membership.
    Association Functions
    • Assists in editing and maintaining the association website.
    • Communicates with membership via broadcast e-mail, education updates and other member emails using Association Management Software (AMS e.i: RAMCO/Constant Contact) or other email system.
    • Designs forms, flyers and notices for various meetings and events as requested and needed.
    • Maintains a calendar of all meetings and classes; coordinates with AE’s calendar.
    • Assist AE in formulating agendas and writing up meeting minutes.
    • Attends the association general membership meetings and other special association events, assisting in set up, preparation and registration of the events.
    • Assists in PAC fundraising drive(s) or events, working with chair and government affairs director, as needed.
    • Provides secretarial functions for taskforces and committees to include recording of minutes and notes, preparation of sign in sheets and agendas, notification of meetings and other duties as instructed by AE and education chair.
    • 2-3 years related experience is preferred
    • Excellent written and verbal communication skills
    • Exceptional listening skills and patience
    • Extensive knowledge of all Microsoft Office applications including Outlook
    • Experience with Adobe Creative Suite preferred
    • Ability to multi-task and successfully problem solve to naturally project a positive, energetic, and professional image
    • Ability to walk, stand, and sit (including on the floor) for long periods of time.
    • Must be able to lift and carry supplies weighing up to 40 pounds.
    • Ability to stand or sit while maintaining alertness for several hours at a time.
    • Position may require bending, leaning, kneeling, and walking.
    • Ability to speak concisely and effectively communicate.
    • Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency
    • Ability to view/enter data for long periods of time.

    8:00-4:30 Thursday (weekly event at 8:30)
